Gem vs Lemlist vs Recruit CRM: Outreach Sequences That Get Candidates to Reply
Gem vs Lemlist vs Recruit CRM for candidate outreach: sequence features, prices as of Oct 2026, and Gem's own data showing 21.3% of sequences get replies.
No public study compares candidate reply rates across Gem, lemlist and Recruit CRM, so no tool can honestly be crowned the winner on replies. What does exist is Gem's own data: in its 2022 benchmark of nearly 8 million sequences, 21.3% of sequences saw a reply. The practical question is which tool lets you run a sound sequence at a price and workflow that fits your desk.
Which of the three tools is built for recruiters?
Gem and Recruit CRM are recruiting products. lemlist is a general outreach tool whose published sequence guidance is written for sales prospecting.
Gem's staffing plans, per the company's pricing page, bundle an ATS, CRM, sourcing, scheduling and analytics, and are open only to recruiting and staffing firms. Recruit CRM's pricing page describes an ATS plus CRM with sequences as one feature. lemlist's multichannel guide uses the example goal of booking a 15-minute discovery call with operations leaders. That is a sales goal, so recruiters would rewrite the copy and track candidates in another system.
How do the sequence features compare?
All three run multi-step sequences, but they differ in channels, plan gating and what they log. The table uses each vendor's own descriptions, as of 15 October 2026.
| Gem (recruiting-firm plans) | lemlist | Recruit CRM | |
|---|---|---|---|
| Sequence channels (vendor description) | "Multi-step, multi-channel sequencing" on Essentials | Email on all plans; LinkedIn visits, invites, messages and in-app calling on Multichannel Expert | Business and above: Email, LinkedIn, WhatsApp (pricing page); help center lists email, SMS, LinkedIn and tasks |
| Plan gating | Included in Essentials | Email plan has no LinkedIn actions | Pro and trial: 1 sequence. Business and above: multichannel sequences |
| Send on behalf of someone else | Yes, including from a client's email domain | Not stated on the vendor pages cited | Not stated on the vendor pages cited |
| Email finding | 150 credits per user per month (Essentials), 750 (Professional) | 400 free enrichment credits per user per month (Multichannel Expert) | Data enrichment consumes credits (100, 200 or 2,000 per user per month by plan) |
| Built-in ATS/CRM | Yes (Essentials and Professional) | No ATS described | Yes |
| Free trial | 7 days | 14 days (Multichannel Expert only) | Free trial offered |
Two Recruit CRM details matter for sequences. A candidate can be actively enrolled in only one sequence at a time, and records that have opted out of email or lack a valid address are excluded from enrollment. If a connected email account drops, the enrollment pauses until you fix it.
What do they cost?
Gem and Recruit CRM charge per user. lemlist charges by sending volume on its Email plan and per user on Multichannel Expert. Prices are as of 15 October 2026 and come from each vendor's own pages.
| Plan | Price (vendor-listed) | Notes |
|---|---|---|
| Gem Essentials | $99 per user/month billed yearly; $139 billed monthly | Up to 3 users; recruiting and staffing firms only |
| Gem Professional | $149 per user/month billed yearly; $199 billed monthly | Up to 10 users; 750 email-finding credits |
| Gem Enterprise | Custom | Adds an AI suite and 16+ ATS connectors |
| lemlist Email, 50,000 emails/month | $69/month monthly; $55/month billed yearly | Unlimited users; no LinkedIn actions |
| lemlist Email, 100,000 emails/month | $89/month monthly; $71/month billed yearly | Campaigns pause at the monthly cap |
| lemlist Multichannel Expert | $109 per user/month monthly | 14-day trial; 20% off yearly |
| Recruit CRM Pro | $95 per user/month | 1 sequence at a time |
| Recruit CRM Business | $135 per user/month | Multichannel sequences |
| Recruit CRM Enterprise | $215 per user/month | 2,000 credits per user per month |
A quick example with a three-recruiter desk: Gem Essentials billed yearly is 3 x $99 = $297 a month. lemlist Multichannel Expert billed monthly is 3 x $109 = $327. Recruit CRM Business at the listed rate is 3 x $135 = $405. These are seat costs only. They do not include credit top-ups, which Recruit CRM says LinkedIn messaging, SMS and WhatsApp consume.
What does Gem's data say about the number of follow-ups?
Gem's data suggests a four-stage sequence captures most of the replies. This is company-reported, covers sequences sent from 1 June 2021 to 31 May 2022, and is not independent.
According to Gem's 2022 benchmark, the first email saw an 8.3% reply rate. Cumulative reply rate was 15.8% by the second email and 21.3% by the fifth, and it stayed flat after that. Gem says a fourth "breakup" email adds incremental gains and anything beyond it has little benefit. It also says a three-stage sequence sees more than twice the replies of a one-off email.
Other findings from the same report, all self-reported by Gem:
- Including at least one personalization token in the subject line made a nearly 5% (4.8%) difference in open rates.
- Over 25% of sequences sent through Gem contain a message sent on behalf of someone else, such as a hiring manager.
- Gem gives an example sequence in which stages 1 and 2 come from the recruiter, stage 3 from the hiring manager and stage 4 from a director.
How long should the gaps between messages be?
Gem says to test either one day or six days between the first three emails. Its data shows open rates highest at one day and "interested" rates highest at six days.
In the same benchmark, the most common spacing is six days between emails one and two, and again between two and three. Gem's reading is that six days lands each email on a different day of the week and gives the candidate time to think. When stage two went out the day after stage one, that email saw a 15.1% open rate, per Gem. Because the two spacings optimize for different outcomes, split-test them against the result you care about, such as interested replies.
What does a candidate sequence look like on each tool?
Below are two starting structures. They are adaptations of vendor guidance, not tested results.
Email-led, four stages (based on Gem's guidance). Works in any of the three tools.
- Stage 1: email from the recruiter, with a personalization token in the subject line.
- Stage 2: follow-up after one or six days. Test both.
- Stage 3: same spacing, ideally sent on behalf of the hiring manager if your tool supports it. Gem does, including from a client's email domain.
- Stage 4: a short breakup email that closes the loop.
Two-week multichannel (based on lemlist's fast scenario). Needs lemlist Multichannel Expert or Recruit CRM Business and above. lemlist's own 14-day schedule is: day 1 LinkedIn message or invite, day 2 first email, day 6 second email, day 7 LinkedIn visit, day 10 third email, day 13 call.
lemlist adds three rules that carry over to recruiting. Give every step a clear purpose. Leave breathing room between direct asks. Change one element at a time when A/B testing, so you can tell what worked. For sourcing the list in the first place, see The Boolean Strings Recruiters Still Use and Apollo vs Lusha vs ContactOut for email-finder costs.
Which should you choose by team size?
Pick on workflow and budget, not on a reply-rate claim nobody has proven. This is a judgment based on the published features above, not a test.
- Solo recruiter or very small desk, email only: lemlist's Email plan is the cheapest published entry point at $69 a month for 50,000 emails, but you would need a separate system for candidate records.
- Small agency that wants ATS, CRM and sequences in one place: compare Gem Essentials (up to 3 users) with Recruit CRM Business. Check that your sequence needs sit on Recruit CRM's Business tier, since Pro allows one sequence.
- Agency sending on behalf of clients: Gem lists cross-domain send-on-behalf-of on its staffing plans. Confirm the same capability in the other two before buying.
- Mixed email, LinkedIn and calls: lemlist Multichannel Expert and Recruit CRM Business both list LinkedIn steps. Recruit CRM's LinkedIn, SMS and WhatsApp use credits.

Do email rules apply to recruiting sequences?
Possibly. The FTC says CAN-SPAM covers commercial email and makes no exception for business-to-business email, with penalties of up to $53,088 per violating email. Whether a given recruiting message is commercial is a legal question, so ask counsel.
The FTC's checklist is simple to build into any template: accurate "From" and "Reply-To" information, a subject line that reflects the content, a valid physical postal address, and a clear way to opt out. Opt-outs must be honored within 10 business days. Rules for candidates in the EU or UK are separate and are not covered here.
What's still unclear?
- No head-to-head reply data. None of the three vendors publishes candidate reply rates against the others, and no independent study is cited here.
- Gem's benchmark is old and self-reported. It covers June 2021 to May 2022 and reflects Gem customers' sequences. Reply rates today may differ.
- Gem's in-house pricing. The prices above are for recruiting and staffing firms only. In-house teams are told to contact sales.
- Recruit CRM's displayed prices. The pricing page shows $95, $135 and $215 per user per month and mentions annual savings of up to 17%, but the page text does not say which billing cycle the figures show.
- Recruit CRM channel list. The pricing page names Email, LinkedIn and WhatsApp for multichannel sequences. The help center, dated 3 September 2026, lists email, SMS, LinkedIn and task steps. Confirm the exact channels on your plan in a trial.
- lemlist's recruiting fit. Its published templates are for sales. Whether the cadence suits passive candidates is untested.
- Weakest point of this comparison. It rests on vendor documentation. Reply rates depend on list quality, role, employer brand and copy at least as much as on the tool.
Frequently asked questions
Which tool gets the highest candidate reply rate?
No public head-to-head data exists for Gem, lemlist and Recruit CRM. The only large recruiting dataset cited here is Gem's own 2022 benchmark, in which 21.3% of its sequences drew a reply. That is vendor-reported, covers June 2021 to May 2022, and says nothing about the other two tools. Test your own sequences instead.
How many follow-up emails should a recruiter send?
Gem's 2022 benchmark says most opens and replies are captured by stage three, with small extra gains from a fourth 'breakup' email and little benefit beyond that. Gem recommends four stages. This is the company's own analysis of its customers' sequences, so treat it as a starting point to test.
Can lemlist be used for recruiting?
It can send email and LinkedIn steps, and calling on its Multichannel Expert plan. But lemlist's published sequence examples target sales goals such as booking discovery calls, and it is not described as an applicant tracking system. Recruiters would need to adapt the copy and track candidates elsewhere.
Does Recruit CRM include sequences on every plan?
No. Recruit CRM's help center says multichannel sequences are exclusive to the Business plan and above. Pro and free-trial accounts can create only one sequence at a time. LinkedIn messaging, SMS and WhatsApp also consume credits, according to the company's pricing page as of 15 October 2026.
Does CAN-SPAM apply to recruiter outreach emails?
The FTC says CAN-SPAM covers commercial email and makes no exception for business-to-business messages, with penalties up to $53,088 per violating email. Whether a particular recruiting email is commercial is a legal question. Ask counsel, and in the meantime include an accurate sender name, a postal address and a working opt-out.
What is the cheapest way to start sequencing candidates?
As of 15 October 2026, lemlist's Email plan starts at $69 a month billed monthly for up to 50,000 emails, with unlimited users. It has no LinkedIn actions. Gem's recruiting-firm Essentials plan is $99 per user per month billed yearly, and Recruit CRM Pro is listed at $95 per user per month but limits you to one sequence.
